CDCR Case Study

California Department of Corrections and Rehabilitation – Transforming Facility Management for 63,000 Employees

The Brief:
The California Department of Corrections and Rehabilitation (CDCR) is one of the nation’s largest and most diverse correctional departments with 63,000 unique employees. CDCR needed a system to enhance on-site head counts, streamline employee check-ins and check-outs from spaces, and foster meaningful interactions between employees and facilities.

What We Did:
ServiceNow® Workplace Service Delivery (WSD) was selected as the mechanism for CDCR’s facility management operations. The delivered scope included: Reservation Management, Space Management, Workflow Automation, Workplace Case Management, and NOW Mobile. CDCR plans to grow into their WSD environment and enable additional modules over time.

Results:
Since implementation, CDCR has experienced more efficient facility management and employee operations. The new system is performing as planned to enhance on-site head counts, streamline employee check-ins and check-outs, and deliver dynamic employee experiences.

Highlights:
• Space Management with 2 regions, 3 sites, 7 campuses, 9 buildings, 11 floors, 18 rooms, 637 spaces
• 1500+ space reservations were created on Day 1
• 6800+ reservations were created in the first three weeks

CA. HCAI Case Study

HCAI Augments Cross-Departmental Collaboration with ServiceNow®

The California Department of Healthcare Access & Information (HCAI) provides state residents with access to quality, affordable health care through resilient facilities, actionable information, and a dedicated health workforce. HCAI’s strategic goal of maximizing the overall departmental organizational efficiency required an investment in a technology platform to streamline the numerous cross-department workflows. ServiceNow® was selected by HCAI as the platform to enable their strategic initiative, along with AHEAD + Stridepath to enable the functionality within the platform and to deliver the overall Program.

What We Did:
Together, AHEAD + Stridepath successfully deployed HRSD, ITSM, and ITOM. The comprehensive HRSD vision that HCAI designed required the robust functionality of the ServiceNow® HRSD Enterprise license. We established position control tables to feed multiple eRPA processes automated via complex HR services, deployed a LifeCycle Event to enable IT onboarding, and built a custom HR Application to digitize and automate the CA STD-200 Form (Telework Agreement).

Results:
Stridepath + AHEAD leveraged their vast experience working together to design an overall program approach to deliver a successful ServiceNow® platform engagement for HCAI that included multiple products. HCAI’s complex requirements necessitated a partner that possessed platform knowledge combined with HR expertise to deliver a successful Program outcome. Working together, and with several HCAI departments, AHEAD + Stridepath deployed HRSD, ITSM, and ITOM on time and under budget.

CA. DPH Case Study

California Department of Public Health Automates Personnel Action

The Brief:
The California Department of Public Health (CDPH) is focused on protecting and optimizing health for its California residents. The department places high value on its efficiency and accuracy as it serves a population of over 39 million. CDPH was chartered by the State of California to hire over 1,000 new employees within one year. Before recruiting candidates can begin, a critical process needs to take place: approving the position, ensuring that it is budgeted and categorized, and finally, confirming that it is funded. This process is known as Request for Personnel Action (RPA).

CDPH intended to replace its legacy system with a platform that would accelerate its recruiting process while keeping the user experience front and center.

What We Did:
CDPH leveraged ServiceNow® HRSD as the platform to power 7 distinct RPA processes. Stridepath deployed its RPA offering to support the business requirements, deliver a robust solution, and accelerate the implementation. This offering leverages ServiceNow® HRSD to automate and accelerate RPA processes.

Results:
Following this project, CDPH’s hiring process is more efficient, accurate, and timely. From the initial search for the right employee right up to a graceful separation, personnel actions are productive and intuitive for the agency and its users.

• 700+ RPA transactions logged in the first two weeks of use
• Agents shared that the system is easier to use, improves their data quality, and “just makes transactions and cases move faster.”

CA HCD Case Study

California Department of Housing & Community Development Digitizes HR Processes

The Brief:
The California Department of Housing and Community Development (HCD) helps to provide stable and safe homes that are affordable to its residents in need. HCD is one of many California State Agencies that is seeking out digitized, automated, and more efficient processes for its HR needs. All California State Agencies require their employees to submit a telework agreement if they are planning to work remotely. Previously, HCD managed these forms through manual processes that stifled efficiency and accuracy, while simultaneously putting a strain on their internal HR resources. These manual processes created increased risk of missed deadlines, significant staff time spent tracking, and/or the opportunity for forms to be lost altogether.

What We Did:
Stridepath implemented a digitized version of the California Form 200 and created reporting processes to eliminate the cumbersome, manual paper procedures and to increase efficiency. The goal of this solution was to create an environment of transparency that would allow employees to work more efficiently while also providing the necessary operational controls for tracking and reporting.

Results:
CA. HCD is now benefiting from an automated process that allows for increased efficiency, prompt completion, and smooth submission from the agency to the state’s Department of General Services. The department has also gained increased visibility for tracking and reporting.

CALSTRS Case Study

CALSTRS Consolidates Workspace with ServiceNow® Workplace Service Delivery

The Brief:
The California State Teacher’s Retirement System (CALSTRS) provides retirement, disability and survivor benefits for California’s 965,000 pre-kindergarten through community college education and their families. CALSTRS sought to maintain compliance with hybrid working environments by engaging ServiceNow®.

What We Did:
Stridepath implemented ServiceNow® Workplace Service Delivery with the following four components: Reservation Management, Space Management, Indoor Mapping, and Wayfinding. Additionally, the deployment of WSD facilitated the opening of a new headquarters for CALSTRS.

Results:
CALSTRS was able to consolidate from 4 to 2 buildings with the 2,200 employees engaged in their new system.
