Wellstar

Wellstar Health System – Digitizing Vaccination Processes

Wellstar partnered with Stridepath Consulting to reduce time-to-approval for vaccinations and exemptions, and increase visibility for its team members, volunteers, students, and affiliates.

The Brief:
Wellstar was managing its vaccination status and processes manually, hindering efficiency and visibility within the organization, and increasing complexity of auditability.

What We Did:
Wellstar leveraged ServiceNow® Safe Workplace to streamline its flu and COVID vaccination tracking, status, and process for team members, volunteers, students and affiliates. Wellstar also set out to enable each of its audiences to access services and information from any device.

Results:
In just 16 weeks, Stridepath and Wellstar were able to take a wholly manual process and digitize it, allowing for faster review and approval of vaccinations and exemptions. Wellstar has also been able to reduce the time needed to grant access for all audiences to its facilities.

Highlights:

  • During a crisis response, many organizations rely on products like ServiceNow® Safe Workplace, just as Wellstar did in the face of the COVID-19 pandemic. Today most healthcare organizations have a broader focus that encompasses all aspects of occupational health and safety: a problem best solved by ServiceNow® Health and Safety.
  • ServiceNow® Health and Safety features include Incident Management, Risk Management, Workspace, Job Safety Analysis, Workplace Case Management, and Employee Center.

Exact Sciences Sunsets the Inbox for Employee Inquiries

This project delivered a centralized HR system to increase accessibility, effectiveness, and efficiency.

The Brief:
Exact Sciences’ HR Operations team was managing HR cases and employee inquiries solely through email inboxes. They needed a better way to provide HR support to employees, streamline HR operations, and enhance the employee experience.

What We Did:
This project leveraged ServiceNow® HR Case and Knowledge and Employee Center Pro to phase out HR Outlook inboxes from the employee inquiry process. In their place, we implemented a centralized system to make HR-related information and transactions easily accessible to employees, ensuring quick and efficient responses. This new system also introduced automated workflows, allowing HR to handle inquiries more effectively while improving the overall employee experience.

Results:
EC Pro has empowered the employees at Exact Sciences to find answers and complete transactions independently, reducing the need to submit inquiries. This transition to a centralized system has significantly lowered email volume. Additionally, managers now have access to valuable data and insights, helping them better understand employee concerns, track peak inquiry times, and evaluate HR service performance.

Pursuing a Global Talent Mobility Initiative with Edwards Lifesciences

This project aimed to create consistency across the globe for Edwards’ 19,000 employees through automation, consolidation, and a robust governance model.

The Brief:
Edwards Lifesciences is strategically focused on its Talent Mobility process as a key factor for its global presence and significant growth plans. Prior to this project, the Edwards Talent Mobility team supported international transfers via manual methods such as email and phone calls. These methods limited visibility, hindered efficiency, and created challenges for employees and managers.

What We Did:
The goal of this project was to automate Edwards’ Talent Mobility process within ServiceNow® HRSD, creating consistency across the globe in conjunction with the organization’s growth plans. Talent Mobility is Edwards’ first use case with HR Enterprise and will be followed by global onboarding.

Results:
This project successfully enhanced the company’s Talent Mobility process. The HRIT team, now augmented from a group of 6 to a group of 2, was effectively supported through automation while a robust governance model was established to ensure a smooth upgrade path. The project also unified HR operations by consolidating 150 HR services and centralizing three Knowledge Bases into one, creating a more consistent and effective global HR experience.

  • Existing custom configurations were reworked to support an out-of-the-box model
  • The Edwards team shared, “Overall (we are) getting a lot of feedback that this is a very positive end-to-end effort. It is being perceived as a big success in the organization.”

Moffitt Cancer Center Case Study

Moffitt Cancer Center Augments the Employee Experience

The Brief:
Moffitt sought to transition from Cherwell to ServiceNow® HRSD in order to enhance the overall employee experience and reduce the administrative burden on the HR Team.

What We Did:
During the 22-week HR Pro implementation, communication was excellent between both teams at Stridepath and at Moffitt. Sprint retrospectives allowed Moffitt to make adjustments to improve during the project, generating positive progress. The implementation included Employee Center Pro, two Knowledge Bases, 10 HR Services, Service Level Agreements, Reporting & Dashboards, and a Single Inbound Lawson Integration to populate the HR Profile.

Results:
Moffitt experienced a high adoption rate of their new platform, achieving their goals of enhancing the overall employee experience and reducing the administrative burden on the HR Team. The project was well-communicated and delivered on time.

SCA Health Case Study

SCA Health Unifies its System

The Brief:
SCA Health sought to release a well-branded Employee Center that would optimize the platform functionality, increase operational efficiency, and improve the SCA Health teammate experience.

What We Did:
Stridepath deployed 4 projects and consolidated 8 portals for SCA Health. Portions of this project include “mini homepages” using Dynamic Topic Pages, reimagined topic taxonomy to improve browsing experience, and an aligned Employee Center homepage to a refreshed corporate branding.

Results:
SCA Health is utilizing a strongly branded portal, creating a unified experience for its employees. With expanded functionality and efficiency, the workday is more productive than ever.

The Brief:

The Brief:
By optimizing ServiceNow® with streamlined, automated processes and easy to use case tracking and reporting, users have better visibility into case data and prevent them from opening cases that have already been closed.

What We Did:
By incorporating more efficiencies within Case & Knowledge Management, the case transfer process has become a more measurable experience.

Results:
With refined processes resolution times can be measured with more accuracy. The added ability to review security settings and policies enables users to create knowledge articles as needed and take proper action on cases.

CentraCare – Modernizing employee experiences

The Brief:
CentraCare had two objectives for their ServiceNow® HRSD deployment: to provide a great employee experience and consolidate all HR processes into a single, enterprise platform. Navigating manual processes and disparate systems, CentraCare selected Stridepath Consulting for our knowledge of ServiceNow® and our fluency in HR processes.

What We Did:
Stridepath consolidated the employee experience into a single custom portal, without disrupting the focus of the internal IT team.
